Configure customer reminders and contact preferences

Choose reminder channels and timing, then check each customer's email and SMS preferences.

Choose the reminder you want to configure

Open Settings, then Reminders. The page includes Job Appointment Reminders for upcoming visits and Invoice Payment Reminders for due dates and overdue follow-ups. Review the availability shown for your plan before making changes.

Reminder settings describe automated messages. They are separate from manually sending an estimate, invoice, or portal link. For an urgent schedule change, arrange a direct confirmation with the customer instead of relying only on a future reminder.

Set channels and timing

  1. Enable the reminder when available

    Turn on the reminder you want to use. Its configuration controls appear when it is enabled or has pending changes.

  2. Choose channels and dates

    Select Email, SMS, or both as available. Set the timing using the choices shown for that reminder type: appointment reminders are before the visit, while invoice reminders are relative to the due date.

  3. Choose the send hour

    Review Send at and the organization timezone displayed beside it. Set the desired hour and choose Save Changes for the reminder.

Check the individual customer's preferences

Open the customer and find Communication Preferences. Review SMS Reminders and Email Reminders. SMS reminders require a phone number; the page asks you to add one when it is missing. Set the SMS choice to match the customer's actual opt-in, and respect their email reminder preference.

If a customer reports a missing reminder, start by checking the job or invoice date, reminder configuration, contact details, and customer preferences. A saved configuration does not itself confirm that a particular message was delivered.
