Open the invoice and check the balance
Open Invoices and select the invoice for the payment you received. Check the customer, invoice number, Payment Summary, and Payment History so you do not enter a payment that is already recorded.
Record Payment is offered when the invoice has a positive balance and is not Draft, Paid, or Void. If it is missing, check the invoice status and balance first. A job's Mark Paid action is separate from recording a payment against an invoice.
Enter the received payment
Open Record Payment
In Payment Summary, choose Record Payment. The amount initially fills with the remaining balance.
Set the actual amount
Enter the amount received. For a partial payment, replace the prefilled balance with the smaller amount. The form accepts a positive amount up to the invoice balance.
Identify the method
Choose Card, Cash, Check, or Bank Transfer and add optional Notes, such as a reference that helps you identify the payment later.
Save and confirm
Choose Record Payment once, wait for the result, and review Payment History and the new balance. If the form shows an error, resolve it before submitting again.
Check mistakes against the payment history
Recording a payment describes money received; choosing Card in this form is not a card checkout. Review an existing card-provider payment before entering a manual record for the same amount.
Eligible completed manual payments can show a Void action in Payment History. The confirmation explains that voiding restores the invoice balance and cannot be undone. Read the amount, method, and requested reason carefully, and use this action only to correct the payment record you intend to void.
